1. Rental Moorings
  1.1 Full payment is required at time of booking. If you have to cancel your booking, the amount is refundable, less any cancellation fees (Please refer to cancellation and alteration fees).
  1.2 Once payment has been received, marine rental booking cancellations either in part or in full, will incur fees dependant on the amount of notice given:
  • Notice more than 48hrs $15.00
  • Notice of less than 48hrs; 50% of the rent fee of the facility booked will be retained

Partial cancellation is not allowed for bookings where part of the booking falls within the closed period at the time when booking is made. In instances where part of the booking falls within the closed period, the entire booking will be cancelled and must be rebooked. Dependant on the amount of notice given, appropriate cancellation fees will be applied.

Written notice of cancellation must be provided for all bookings except for those cancelled on line or in person in which case appropriate identification will be required.

Cancellation fees can be waived on application due to weather conditions where a strong wind warning or greater has been issued by the Bureau of Meteorology for the waters surrounding Rottnest Island during the rental period. Notification is required prior to check in date.

  1.3 Refunds
  • Refunds will be made in the name of the person who made the initial payment.
  • Where payment was made by credit card, all applicable fees and charges will be deducted and the remaining amount will be credited to the credit card used to make the initial booking.
  • Cash payments will be refunded by cheque.
  1.4 Bookings are not transferable between people or vessel and information relating to bookings will not be released to a third party under any circumstances.
  1.5 The Rottnest Island Authority is committed to improving customer service. As part of this commitment, customer satisfaction research is conducted from time to time. RIA appreciates your time, and will respect your privacy. Any information provided will be passed on to a market research organisation for purposes of continuous improvement only.
  1.6 All visitors are required to respect the rights of others to enjoy the Island at all times, and to adhere to quiet hours as follows: 11 pm to 7am in all areas.
  1.7 Check-in
  • All marine rental facilities are booked for 24 hours periods from 10.00am to 10.00am.
  • For all bookings made by phone or in person, customer must register at the Visitors Centre within two (2) hours on the first day of arrival.
  • In person check-in at the Visitor Centre is not required for bookings made through the online booking system.
  1.8 Any false vessel information supplied at time of booking or check-in will render the booking invalid and subject to immediate cancellation without refund.
  1.9 Any breach by the registered user or other occupants of the marine rental facility may result in immediate cancellation of the rental agreement without refund.
  1.10 You agree to comply with all of the provisions of the Rottnest Island Authority Act 1987 and the Rottnest Island Regulations 1988.
  1.11 The RIA reserves the right to cancel or change a booking due to operational requirements.
     
2. Accommodation
  2.1 The registered guest must be over 18 years of age and must reside each night in the accommodation for the duration of the booking.
  2.2 At any one time, up to two units can be booked in one single transaction, provided the bookings are not continuous and are over two different time periods.

For continuous or overlapping bookings, the second booking must be in a different name to the first booking.

  2.3 Registered guests must provide a Photo proof of identify (POI) at the time of key collection
  2.4 Payments
  • Full payment is required at the time of making the booking;
  • Payments can be made by Credit Cards, Eftpos, Cash and Cheque;
  • Payment by American Express and Diners club are not to be accepted.
  • Payments by cheque can only be made if the customer's arrival date is more than 14 days from the time of booking and the guest is being made over the counter at either the E Shed Reception or Rottnest Island Visitor Centre;
  2.5 Cancellation
  • Written notice of cancellation must be provided for all bookings except for those cancelled on line or in person in which case appropriate identification will be required.
  • Where the booking dates are changed between 3-14 days prior to arrival standard cancellation fees will apply. Any change to a booking date less then 48 hours prior to arrival will result in full cancellation fee. If booking dates are changed more than 14 nights prior to arrival and the value of the booking is reduced standard cancellation fees will apply.
  • During ballot periods, shortening of a booking or changes to the key holders name are not permitted. Additional terms and conditions apply during ballot periods. Full details will be available at time of application.
  • For cancellations made in part or in full more then 14 days after the booking and:
    • More than 180 nights prior to arrival: $55 fixed charge or 50% of the cost of one night of the stay (whichever is the lowest) will be retained (cost based on first night of stay).
    • 15 – 180 nights prior to arrival: 50% of the cost of one night of the stay will be retained (cost based on first night of stay).
    • 3 - 14 nights prior to arrival: the cost of the first night of the stay will be retained; and
    • Less than 48 hours prior to 2pm check in time: full amount will be retained.
  2.6 Security Deposit and Credit Card pre-authorisation
  • Payment of security deposit is applicable for all bookings during the following periods:
    • School leavers' period - $2000
      • Note: Credit card pre-authorisation for the recovery of costs associated with damages is NOT acceptable in place of deposit.
      • University break period in June - $1000 credit card pre-authorisation is required at the time of check in.
  • Security deposits are payable by no later than 14 days before arrival.
  2.7 Two Nights Stay restrictions
  • During the low season period a minimum of two (2) nights' stay restriction applies to bookings that fall on a Saturday night, for cabins, bungalows and the chalet.
  • Guests that book a cabin, bungalow or chalet on a Saturday night, must also book either Friday night or Sunday night as required.
  • During the peak season a minimum two (2) nights' stay restriction applies to bookings that fall on a Saturday night, for dormitories at Kingstown.
  2.8 Maximum Stay Restrictions
  • During high season, a single booking cannot extend beyond 14 nights maximum stay restrictions.
  2.9 Mobility Impaired
  • Specific accommodation is set aside for travellers to Rottnest Island who are mobility impaired.
  • Mobility impaired customers requiring wheelchair accessible accommodation must contact the Authority's Central Reservation line on 1800 111 111 (Australian landline calls outside the Perth metropolitan area only) or +61 8 9432 9111, between the hours of 8:30am to 5:00pm Western Standard time, Monday to Friday regarding the application process.
  2.10 Transfer of bookings for accommodation on the Island is permitted with at least 24 hours written notice. Transfer of bookings not permitted during ballot periods.
  2.11 RIA will not release Information relating to a booking to a third party at any time.
  2.12 Occupancy limits
  • Tents - Maximum two tents and total of six (6) people are permitted at each site;
  • Governor's Circle, Caroline Thomson Cabins and Kingstown dormitories and hostel: Only one person per bed. Additional beds are not available;
  • Premium Units, Premium View Villas and Cottages: Maximum of 1 person per permanent bed provided plus 50%.
  • The RIA reserves the right to adjust occupancy limits during specified periods.
  2.13 Check in and Checkout Times
  • No arrivals or departures on public holidays;
  • The checkout time is at 9:00am. This is to ensure that the accommodation is cleaned for the arrival of the next guest.
  • It is the responsibility of the registered guest to ensure that the room is securely locked and that the keys to the room have been dropped off at the Visitor Centre;
  • Check in must be done at the Visitor Centre.
  • Check in time is set from 2:00pm to ensure that the room has been cleaned and checked by the quality assurance team.
  2.14 Males are not permitted to stay in the female only dormitories.
  2.15 Under exceptional circumstances the RIA reserves the right to relocate a booking to a house of similar type.
  2.16 Bookings created 12 months in advance and overlap the closed month must book at least 5 nights in the open month to book a maximum of 3 nights in the closed month. Shortening of the stay by reducing the number of nights in the open month is not permitted. Standard cancellation fees apply.
  2.17 Any breach by the registered guest or other occupants of the accommodation will result in immediate cancellation of tenancy without refund.
  2.18 All visitors are required to respect the rights of others to enjoy the Island at all times, and to adhere to quiet hours as follows: 11pm to 7am in all areas. 9pm to 9am in Kingstown and Governors' Circle.
  2.19 It is a condition of tenancy that the occupant provides a valid credit card pre-authorisation to the Authority and agrees to allow any cost for which they are liable under the tenancy, or any statute to be levied against this credit
  2.20 Additional terms and conditions apply during ballot periods. Details can be found at the time of applying for the ballot.
  2.21 RIA is committed to improving customer service. As part of this commitment, customer satisfaction research is conducted from time to time. Any information provided by guests will be passed on to a market research organisation for the purposes of continuous improvement.
     
3. Bike Hire
  3.1 Eligibility requirement
  • The person signing the hiring agreement must be 18 years of age or over;
  • Customers under the age of 18 must be accompanied by an adult 18 years of age or over, who will sign the hiring agreement on their behalf.
  • Where an adult is hiring a bike online, on behalf of a person under 18 years, the Conditions of Bicycle Hire need to be accepted by the adult prior to the booking proceeding (refer to Terms & Conditions of Bike Hire).
  3.2 Rottnest Island Road Rules
  • The hirer must not breach the provisions of the Road Traffic Act 1974 (WA) and the Road Traffic Code 2000 (WA) (as amended from time to time) when riding a hire bike. Some of the provisions include:
    • Helmets must be worn and fastened at all times when riding;
    • Bikes ridden at night must be fitted with lights, and lights must be lit during hours of darkness and hazardous weather;
    • Bikes must not be ridden recklessly or without due care and attention;
    • Bikes must not be ridden by persons under the influence of alcohol or drugs.
    • The hirer must ensure that bikes are only ridden on sealed roads and cycling paths.
  3.3 Conditions for Use of Bicycles
  • The hirer is responsible for checking all hire items prior to using the hire items.
  • The hirer must not adjust any part of the bike other than the seat.
  • The hirer must be a competent cyclist and must ensure that only other competent cyclists ride the hire bike.
  • The hirer must ensure that all persons who the hirer permits to use the hire bike are wearing clothing at all times that is suitable for riding a bike.
  • The hirer must ensure that all hire items are locked or placed in a secure place when not in use.
  • The hirer acknowledges that the hirer uses the hire items entirely at the hirer’s own risk and that neither the Rottnest Island Authority, nor any employee or agent of the operator shall be responsible or liable for any loss, damage, personal injury or death, howsoever caused (whether by negligent or other unlawful act or omission of, by or on the part of the Rottnest Island Authority or employee of the operator) arising from the use of the hire items or any incident involving the hire items.
  3.4 Proof of Identification (POI) and Proof of Age
  • Customers must provide a Photo proof of identify (POI) at the time of bike hiring and collection to confirm their identity and age as required.
  • Customers hiring their bikes online must provide a receipt of online transaction when arriving at the Bike Hire shop to pick up their bikes.
  • Customers must provide a Photo proof of identify (POI) at the time of bike collection, in order to confirm their identity.
  3.5 Conditions of Bicycle Hire
  • Customers hiring their Bikes online must accept the Bike Hire’s Terms and Conditions of Bicycle Hire prior to their reservation being processed.
  • Where an adult is hiring a bike online, on behalf of a person under 18 years of age:
    • The Terms and Conditions of Bicycle Hire need to be accepted by the adult 18 years of age and over (the hirer).
    • The name and contact details of the hirer is required for booking to proceed.
    • The name of the person picking up the bike need to be specified and confirmed through the provision of an ID at the time of bike pick up.
  • When customers hire their bike at the Bike Hire shop, they must sign the tax invoice which includes the “Conditions of Bicycle Hire” over leaf, at the time of paying for their bikes;
  3.6 Transfer of Bookings
  • Transfer of bookings is permissible provided the customer is 18 years of age or over, or is accompanied by an adult 18 years of age or over.
  • The "Conditions of Bicycle Hire" must be signed prior to the customer taking charge of the bike.
  3.7 Cancellation and Modifications
  • Once payment has been received, booking cancellations either in part or in full, will incur a cancellation fee dependant on the amount of notice given:
    • More than 7 days prior to bike pick up : no charge
    • 3-7 days prior to pick up : $15.00
    • 2 days or less prior to pick up: full payment will be retained
  • Customers extending their bike hire are exempted from paying the administration fee; and
  • Extensions to the term of lease whilst on the Island are subject to bike availability. All requests for extensions to the term of the lease whilst on the island must be approved by the Bike Hire Manager or Supervisors.
  3.8 Pick up and Return Times:
  • Customers will not be able to book bikes online or through the RIA Central Reservation line for pick up on the same day. Customers wishing to book bikes for the same day pick up will need to attend the Bike Hire outlet on Rottnest Island to arrange the hiring and pick up of their bikes;
  • Customers are able to pick up their bikes between the hours of 9:00am and 3:30pm Monday to Sunday;
  • No pick ups after 4:00pm;
  • Bikes are to be returned 24 hours from the time of pick up on the return date;

    E.g. If the bike is picked up at 9:30am, it is due back at Bike Hire at 9:30am on the return date.

  • Customers failing to return their bikes on the due date and time will be charged the hourly rate, up to a maximum of one day's hire charge until the bike is returned.
  3.9 Age and weight Restrictions
  • For safety reasons, the following weight restrictions applies to :
    • Child trailers - maximum 2 children, up to a total of 45kg;
    • Baby seats - maximum weight of up to 17 kg;
  • Children under 12 months of age are not permitted on RIA's Bike Hire equipment and related accessories;
  • Customers age range determines the price paid for each bike:
    • 1-14 Years - Child rate
    • 15+ - Adult rate
  3.10 Group Bookings
  • Community and school groups are able to book their bikes in advance by contacting the Bike Hire outlet by phone on (08) 9292 5105 or email bike.hire@rottnestisland.com.
  • All requests for alterations to group bookings must be done by contacting the Bike Hire outlet on (08) 9292 5105;
  • Only one alteration is allowed per group booking and must be made more than 14 days prior to arrival; and
  • Alterations to group bookings made less than 14 days prior to arrival will incur a $100 penalty.
  3.11 Concessions
  • A 10% concession rate is offered to holders of the following cards:
    • WA Seniors Card;
    • DVA (Veterans Affairs) Card;
    • Healthcare Concession Cards;
    • TPI (Totally and permanently incapacitated) Card; and
    • Pensioner Concession Card
  • Customers must provide a valid proof of concession at the time of bike pick up.
  3.12 Rottnest Island Authority complies with the Privacy Act 1988. Any personal information collected by the RIA is treated as confidential and will be used only for the purpose for which it was provided by the customer.

Personal information provided by customers will not be disclosed to any external organisations or third party without the customer's consent, unless RIA is required to disclose certain information by law.

  3.13 If a supplied item is faulty, it may be exchanged for another of the same item. If the same item is not available, a similar item may be substituted subject to the customer’s approval, and the difference in price either paid or refunded. If a similar item is not available a refund or credit may be issued at the discretion of the Bike Hire manager or supervisor.

The hirer acknowledges that no credit or cash refund will be provided on the early return of any hire items.

  3.14 Breach of Terms and Conditions
  • The hirer is in breach of Conditions of Hire for:
    • Failure to comply with the provisions of the Western Australian Road Traffic Code;
    • Dinking (more than one person on a bicycle designed for one person);
    • Riding through or into lakes and the sea. This also includes lake and sea shores;
    • Riding on jetties;
    • Stolen or lost bikes;
    • Lost, stolen, or damaged helmets, lock and key (key must be returned with lock);
    • Bikes not returned inside bike hire building during hours of business;
    • Bike number returning does not match the number on the receipt;
    • Any malicious or accidental damage, including buckled wheels, tyres skidded through to the canvas and bend forks or frames.
  • The hirer agrees that the deposit will be forfeited if any hire item is stolen, lost or damaged, whether or not the theft, loss or damage has been caused by the hirer.
  • The hirer indemnifies the Rottnest Island Authority for all costs incurred by the Rottnest Island Authority in respect of:
    • Replacing the stolen or lost hire items;
    • Repairing damaged hire items; and
    • Personal injury or property damage caused by, or arising from, the hire items, howsoever caused.
  3.15 RIA will not release Information relating to a booking to a third party at any time.
